Match user records before updating downstream steps
A Zapier user tried to automate subscription record handling, but lookup timing and formatting issues kept the agents from working reliably.
- What they did
- They built three Zapier agents around a customer table for a subscription service: one to email admins a current roster, one to create users, and one to delete them. The agents used the email Stripe stored in the table to locate customers, then had to switch to another field to find related subaccounts. They experimented with changing the Find Records setting and with a formula column that forced lowercase, but bugs, absent fields, and draft/version glitches kept getting in the way.
- How it went
- The system never reached a stable state. Lookups failed when casing did not match, the needed operator could not be set cleanly when more than one search field was involved, and newly added columns would not show up when expected. The poster said the agents were still in beta, had already cost $400, and support agreed at least one behavior looked buggy.
- Tips
- If your source app writes data in inconsistent formats, normalize it before the lookup step. Also test whether your agent can reliably see new columns and handle late-arriving records before letting it touch live accounts.
Try it yourself with Zapier Agents
Create a Zapier agent that searches for [user/customer] records in [table or source app] using [email, ID, or another field], then passes the matched record to the next step in [downstream app]. If the first search misses, try a normalized version of the field, but stop and ask me to approve any action that would send, delete, submit, or charge anything. Run it first on [number] test records and return a simple report showing which items matched, which failed, and why.
Fill in the [brackets]. Agents can make mistakes, so review anything before it is sent, paid or deleted.
