Build a safe invoice workflow in n8n

They prepared the backend for an invoice process that will later read bills from Gmail, verify them, and route some for approval.

Done with n8nยท Intermediate

What they did
They set up n8n in queue mode with Docker, PostgreSQL, Redis, and a worker process. They also created database tables for suppliers, invoices, and activity tracking, then connected Gmail, OpenAI, Postgres, and Slack. The intended path was Gmail intake, OCR, AI-based field capture, checks for repeat bills and known suppliers, invoice sorting, approval routing, accounting entry creation, and payment scheduling.
How it went
No invoices were handled yet. The system was left running with the schema ready, while the later steps for data capture, validation, approval, and accounting were deferred to the next parts of the series.
Tips
Because queue mode can rerun stuck jobs, each action should be safe to repeat. Save the n8n encryption key somewhere secure so you can restore it later.

Try it yourself with n8n

Help me design an n8n workflow for supplier bills. Watch Gmail label [invoices], pull out [supplier], [invoice number], [amount], and [due date], then compare the invoice against [my supplier list] and existing records to spot duplicates and confirm the vendor. If the total is above [approval threshold], send it to [approver] and stop there; do not create any accounting entry or schedule payment until I approve the next step.
