Use n8n chat to collect padel bookings
An n8n chat agent gathers booking details while the workflow handles court assignment and booking rules.
- What they did
- The builder added a conversational AI layer to an n8n setup for a padel club with two courts. The agent’s only role was to talk with customers, gather the booking information, and hand it off to the workflow as a tool. From there, the workflow checked for scheduling conflicts, picked the first free court, processed new bookings, edits, and cancellations, and wrote everything to Google Sheets. After an earlier version that relied too much on the model produced wrong outputs, the builder refined the design by hand.
- How it went
- People could message in with a reservation request and get back a confirmed booking ID. Splitting the conversation from the actual scheduling logic made the system simpler to troubleshoot and more dependable. Even so, the builder felt the setup still needed to be broken apart further and planned to separate the booking, change, and cancellation paths.
- Tips
- Keep the agent focused on collecting details and confirming them, while the workflow makes the booking decisions. During testing, the builder used 4o mini and paid about $1 for around 150 successful chats.
Try it yourself with n8n
Create an n8n booking flow for [club name] with [number] courts. Let a chat agent on [channel] handle the conversation, gather the date, time, duration, player name, and whether the customer wants to book, change, or cancel. After the agent has the details, send them to the workflow so it can check [Google Sheets/Calendar], find an open court, and apply the booking rules. Before anything is created, changed, canceled, or submitted, stop and ask me to confirm the exact action and details. Keep testing until I can complete a booking, an update, and a cancellation from start to finish, and return the booking ID after each successful step.
Fill in the [brackets]. Agents can make mistakes, so review anything before it is sent, paid or deleted.
