Automate trip reminders and return messages

An n8n flow checks a trip sheet each day and sends the right WhatsApp message before departure or after return.

Done with n8n· Intermediate· Oct 2026

What they did
They built an n8n workflow with a daily schedule trigger. Each run pulled rows from a Google Sheet of trips, compared the travel dates with the current day, and checked a status field so it would not repeat a send. When a trip was three days away, the flow sent a packing-and-documents checklist by WhatsApp; when a trip had ended the day before, it sent a welcome-back note, then updated the row.
How it went
In a test sheet with ten trips, only the correct travelers got messages, and they arrived on the intended days. The row updates also prevented duplicate sends.
Tips
Add a dry run first so you can review the outgoing WhatsApp text before any live delivery. Keep a clear status column in the sheet so each row only moves through the workflow once.

Try it yourself with n8n

Create an n8n workflow that runs every morning and reads my [Google Sheet of trips]. For each row, check whether departure is 3 days away or return was yesterday. If departure is coming up, prepare a WhatsApp message with a packing and documents checklist; if the trip ended yesterday, prepare a welcome-back message that asks for [feedback]. Show me which rows would be messaged and the exact text, and stop for my approval before any message is sent. After I approve, send the WhatsApp messages and mark each row so it won’t be sent again.

Fill in the [brackets]. Agents can make mistakes, so review anything before it is sent, paid or deleted.
