Send overdue invoice reminders with the right tone

Use an n8n agent to check invoices, skip repeats, and email overdue customers with a polite or firmer message based on how late they are.

Done with n8n· Intermediate

What they did
They built the workflow in local Docker with n8n, then connected a chat-triggered agent that used Gemini and a small memory store. The agent had two tools: one to pull invoice rows from a data table and one to send email through Gmail SMTP. Its instructions told it to look for unpaid past-due rows with a positive balance, leave out anyone already marked as reminded, and adjust the wording by how many days the invoice was late.
How it went
The finished setup runs from a single chat command and returns a JSON summary of which reminder emails were sent. No test run, counts, or sample messages were provided. Gmail sending also requires an app password.
Tips
Have the agent review the full table itself if your source does not support filtered reads. Before any email goes out, ask it to show the recipient list and draft message for approval.

Try it yourself with n8n

You are an n8n assistant. Check [invoice source] for rows where the balance is positive, the due date has passed, and the status is Pending. Ignore any row already marked Reminded. For each overdue customer, draft a reminder email in a gentle tone if it is under [number] days late, and make it firmer after that. Show me the recipients and full draft of every email first, and wait for my approval before sending anything. After approval, send the emails through [email tool] and return a JSON summary of what was sent.

Fill in the [brackets]. Agents can make mistakes, so review anything before it is sent, paid or deleted.
