Automate hiring handoff and slot watching with n8n

They used n8n to move a hiring request through approval into IT setup, and to monitor medical calendars until a bookable slot appeared.

What they did
One person built an n8n process for bringing in new staff. HR began the flow in chat, AI reshaped that message into structured fields, and the line manager received an approval email. After approval, the automation opened an IT support request, provisioned the Azure account, and emailed onboarding details to the new hire’s personal inbox. Another person assembled two n8n flows for medical bookings. One checked the appointment system every 15 minutes and sent an ntfy notice when an opening turned up, with buttons for directions to the hospital and a link that triggered the reservation. The other flow accepted that webhook call, completed the booking, and returned the PDF confirmation.
How it went
The appointment checker was said to have reduced costs by at least €400. The onboarding builder said the AI-driven version was slower and less precise than a standard form, so they chose not to use AI for that step.
Tips
When the data has to be accurate, add validation instead of relying on AI to infer fields. Split the alert from the final booking or account action so a person can review before anything is committed.

Try it yourself with n8n

Set up an n8n flow for [HR onboarding/medical appointment tracking]. Start with [HR/a user] entering [required details or search criteria], convert it into structured data, and send it to [manager/approver] for review. Do not carry out any irreversible action such as creating an account, making a booking, sending a message, or submitting a request until I approve the next step. After approval, [open the support request/provision the account/submit the booking], then show me the result of every stage using [test data].

Fill in the [brackets]. Agents can make mistakes, so review anything before it is sent, paid or deleted.
