Turn new Gmail messages into Notion CRM leads

Use a Zapier Agent to spot likely leads in Gmail and log them in a Notion database automatically.

What they did
Simone Smerilli set up a Zapier Agent with Gmail’s New Email trigger. The instructions asked it to decide whether each message was a lead, look up the sender online for details like company, website, LinkedIn, and a few extra notes, and then create a Notion database item when it qualified. He connected the Notion fields, ran tests, and adjusted the prompt until it behaved the way he wanted.
How it went
After it was turned on, the agent handled each incoming email on its own, like a standard Zap. Smerilli did not report accuracy or time saved, and he said the approach may fit some businesses better than others. Each run uses about 4 Zapier Agents activities, so costs depend on usage, and the agent needs careful prompt tuning for reliable results.
Tips
Treat this as a lead triage workflow, not a set-and-forget automation. A normal Zap is usually more predictable, so test a few emails and check the mapped Notion fields before relying on it.

Try it yourself with Zapier Agents

Set up a Zapier Agent that watches [Gmail inbox or label] for new emails. For each message, decide whether it is a genuine sales lead; if it is not, ignore it and note that it was skipped. If it is a lead, research the sender and company online and collect [company], [website], [LinkedIn], and any other useful context, then create a new item in my [Notion CRM database] with [name], [email], [company], [source], [lead summary], [date], and [thread URL in Notes]. Before you create, send, delete, submit, or otherwise make anything irreversible, pause and ask for my approval. Start by testing with one sample email and show me the draft record first.

Fill in the [brackets]. Agents can make mistakes, so review anything before it is sent, paid or deleted.
