Set up nightly order, invoice, and laptop workflows

They had ChatGPT reconcile finished orders, draft invoices, log deals, and handle some purchasing and document sorting automatically each night.

What they did
They ran scheduled nightly prompts in ChatGPT to fetch completed orders, line them up with CRM records, draft invoices inside the accounting tool, and record deal names and amounts in Google Sheets. Separate jobs also moved NDA files from email into the right CRM locations and checked contract insurance requirements. For equipment purchases, the agent used the saved bank card and HR address data to order chosen MacBook models from Apple and get a return box ready.
How it went
They said the setup cut down work equal to three people, and it also generated 1,400 lines of code for commission calculations. Around 20 jobs are active. After the laptop purchase, they still had to tell it to store the receipts.
Tips
Keep a person in the loop for invoices and any purchase-related tasks. If the agent can spend money or submit documents, have it stop for approval first.

Try it yourself with ChatGPT

Every night, review the list of completed orders from [source] and compare it with [CRM/customer record]. For each match, create a draft invoice in [accounting system] and add the deal name and amount to [Sheets table with columns]. Also sort [NDAs] from email into the correct CRM folder and note any [insurance/compliance] requirements found in contracts. If you need to order [hardware], use the saved payment method and [address source] to prepare the purchase, then pause and ask me to approve before you place the order, send anything, delete anything, or submit anything. Afterward, show me the draft invoices, the exceptions, and a reminder to file receipts.

Fill in the [brackets]. Agents can make mistakes, so review anything before it is sent, paid or deleted.
